Getting Ready for an Unannounced Food Safety Audit

Global Food Safety InitiativeJack Frazier
Recoveron GFSI Training

Independent auditors perform unscheduled inspections. That is the entire point of them, and it changes what preparation means. You cannot prepare for a date you do not have. What you can do is make the building’s normal condition good enough to pass.

What fails first

Across food and packaging plants, the findings cluster in the same places, and they are all places that are difficult to reach:

  • Overhead steel. Beams, trusses, ductwork and pipe runs above production. Dust here is the finding auditors reach for first, because it is visible from the floor with a flashlight.
  • Drains. Frequently cleaned superficially and rarely with a dedicated brush and cleaner.
  • Equipment interiors. Behind guards, inside frames, under conveyors.
  • The line between cleaned and sanitized. Surfaces that were sprayed but not cleaned first.

The sequence auditors expect

Cleaning first, sanitizing second, and evidence of both. If soil or dust is present on a surface, the sanitation chemical cannot reach underneath it and that area has not been sanitized regardless of what the schedule says. An auditor who finds soil under a sanitized-and-signed-off surface has found a process failure, not a cleaning failure, and that is a worse finding.

Documentation to have ready

Being able to produce these quickly is worth as much as the cleaning itself:

  • Pre and post inspection records showing condition before and after each scheduled clean
  • The cleaning schedule itself, with intervals and areas
  • Your contractor’s training records, including which GFSI-recognized programs their technicians train through
  • Chemical documentation, confirming EPA-registered products
  • SSOPs, and evidence they are being followed

Keep them where the quality team can reach them under pressure. A folder on somebody’s desk is not a system.

Scheduling that survives an unannounced visit

The only workable approach is an interval matched to how quickly your process generates soil and dust, so that at any given moment the building is at most one cycle away from audit condition. Overhead work usually sets the rhythm, because it is the longest interval and the most visible failure.

If the audit is imminent

Be realistic and prioritize. In a short window, focus on:

  1. Overhead areas directly above open product
  2. Equipment tops and the surfaces at and above eye level
  3. Drains
  4. Anything a previous audit flagged

A focused pass on what will be examined first is worth more than a light pass over everything. Our technicians are certified with a lift, which is what makes the high areas reachable in a compressed schedule.

The standards behind all of this

We train through SQF, BRCGS and FSSC 22000, and in HACCP management and GMP+ practices, and we teach the proper use of Sanitation Standard Operating Procedures. That training is what lets us work in your plant without becoming something you have to explain.

What Our Customers Say

"The team was very accommodating and did the work in a timely manner.
The plant looks a lot cleaner, and the crew went above and beyond."

Robbie Tenneco Goshen, IN

"We had some heavy dust/oil build-up on our Fresh Air intakes and Exhaust fans at the 30-foot ceiling left. Recoveron came in, blocked off the area, brushed and vacuumed the areas, and cleaned the floors when done.

Their group cleaned and painted a control room exterior and even cleaned and painted a workstation and safety barrier. They look very good.

Part of the group worked on the back wall behind the machinery, brushing and vacuuming it, making it look 100% better.
Thank you very much."

Charles Great Northern Corporation Appleton, WI

"We use Recoveron quite often for smaller mold and mildew issues as well as any major water issues. Recoveron has always been very good in response as well as follow up with recommendations."

Robbie Bellin Health Green Bay, WI

"Very flexible and easy to work with. Good job cleaning, too!"

Jim Automated Pet Care Products, LLC Auburn Hills, MI

"I was very satisfied with the job that was done from Recoveron. The crew stayed busy I didn't have to watch over them like I have in the past with other companies. The last day they were here it was close to quitting time for the guys and I told then they could leave but they insisted on doing another job I had on my list before they did. I was really impressed by this and I will defiantly be using Recoveron again."

Anthony Suominen Green Bay, WI

"Our building looks so much better and I appreciate all the hard work from your team."

Mike God's Pantry Food Bank Lexington, KY

"Mark,

I want to thank you and your team on this year’s BRC cleaning project for our ******* and ******* plants. Gabe managed the project very well and during our BRC audit last week the auditor noted how clean the facility was.

Good overall experience."

Benjamin Swift Prepared Foods Council Bluffs, IA

"The Recoveron team once again performed and exceeded our expectations. The job they did in one of our manufacturing areas was nothing but impressive. The crew was on time, listen to direction, asked questions and communicated through the entire process from start to finish. After the job was complete they cleaned up after themselves and bagged all trash. This company is top notch. Have used them in the past and will use them again in the future. Thank you Mark and Team awesome job!!"
